How to use the newsletter generator.

How to make a newsletter

  1. Paste your notes into the text field on the front page — minutes, an agenda or loose notes.
  2. Press Format newsletter. The tool finds the title, date, agenda, decisions, action items and contact details.
  3. Fix whatever it got wrong. Sections we were unsure about are marked with the wordUncertain.
  4. Download the newsletter as a PDF or a Word file, or copy it into an email.

What the tool recognises

Headings such as Agenda, Decisions, Action items,Important, Please note, Contact and Kind regards, in English and in Danish. Bulleted lists with -, or*, numbered lists, dates such as 14 August 2026 or14/08/2026, times such as 15:30-17:00, email addresses and links.

Action items may carry a responsible person and a deadline:Call a meeting (Responsible: Mette, due 01/09/2026) orSend the minutes - Jens, due 20/08/2026.

Pasting from Google Docs or Word

The numerals of a numbered list do not survive the clipboard. Only the item text comes across, which looks like a handful of loose lines. We guess: if a line ends in a colon or in a word such as with, following or including, and two or more short lines follow it, we set them as a numbered list.

The guess is marked Uncertain so you can see where we made it. If we got it wrong, select the text in the section and press 1. or in the toolbar — or press the same button again to turn the list back into ordinary text.

Dates are always read day-first

03/04/2026 is 3 April, never 4 March. Two-digit years up to and including 79 are read as the 2000s.

PDF

Download PDF builds the file and downloads it. There is no print dialog and no destination to choose, and you get the same file whichever browser you use.

The text in the PDF is real text you can search, select and copy — æ, ø and å included. The logo is vector and stays sharp however far you zoom. The pages are exactly the ones you see in the preview: the same line breaks, the same hyphenation, the same page breaks.

If you would rather print on paper, your browser's own print function (Ctrl+P, or ⌘+P on a Mac) still works.

The Word file and the PDF will not look identical

Word and browsers lay text out with different engines. Line breaks fall differently, and a page break may land a paragraph earlier or later. The Word file also uses Georgia and Calibri, because they exist on almost every machine — a file that looks right for the recipient is worth more than one that matches the sender's screen.

What is always preserved: the content, its order, the heading hierarchy, the generated labels in the chosen document language, the logo, the margins, the A4 page size, and the distinction between every block type.

Copying into Word, Outlook or Gmail

Copy newsletter puts both formatted and plain text on the clipboard. Headings, lists, links and colours are included. The logo and footer are not — use PDF or Word if you need them.

Two languages, two places

Change the interface language at the top of the window. It changes buttons and guidance, never your text. Change the document language in the document card inside the editor pane. It controls date formats and the fixed headings inside the newsletter itself.

Drafts

Drafts are stored in your browser on this computer. Safari deletes them after seven days of inactivity, and a private browsing session deletes them when you close it. UseDownload all drafts as a file to keep a backup.
